Patient Visits Per Exam Room Hour

The Patient Visits Per Exam Room Hour report is one of several benchmark tools  available in Ophthalmology Advantage to assess and monitor the financial health of your practice.

Patient Visits Per Exam Room Hour produces a narrative report that evaluates your number of Visits as compared to a 'normal' range of 0.7 to 1.1 This narrative will indicate possible areas for improvement should your practice fall outside of the normal range. Please see the Visits Per Exam Room Hour Sample for an example of the information produced.

How your Visits Per Exam Room Hour is determined: The calendar year to be evaluated is determined by the specified Start and End Dates.  The Number of Fully Equipped Exam Lanes is entered in the report options and calculations are based on a fixed 2080 hours per year (52 weeks x 40 hours per week). Please see the special note in the Options Table below that explains how to calculate the full time equivalency of exam rooms that are not used on a full time basis.

Total Patients Visits is calculated based upon patients who saw an MD, OD or DO (omitting tech only visits) during the reporting period. The report considers E&M Codes posted (including consults), all Eye codes posted and all post-op visits.  The Number of Exam Rooms is multiplied by the Office Hours. This figure is divided into the Total Patient Visits and the result is expressed as a number out to one decimal place.

Example: If the Number of Exam Rooms is 3 and Office Hours for the period were 2080,  the total Exam Room Hours would be 6240.  If Total Patient Visits were 6300, your Patient Visits Per Exam Room Hour would be 1.0.

From Main Menu, click Report, click Pinto and Assoc., click Visits per Exam Room Hour. Set your report Options, then click Begin. Please read the topic Running Crystal Reports if you are unfamiliar with setting options.

Start Date  

Include Ledger Transactions posted from this Date. Default is today's date. Double click the Date Value and use the drop-down arrow to display a Calendar. Start and End Dates would typically span a calendar year.

End Date  

Include Ledger Transactions posted through this Date. Default is today's date. Double click the Date Value and use the drop-down arrow to display a Calendar. Start and End Dates would typically span a calendar year.

Exam Rooms

Input the number of completely equipped examination rooms in all office locations; omit rooms that are used exclusively for special testing or minor procedures, or alcoves that are used only to start patients (as with an autorefractor and non-contact tonometer.)

Note: To Calculate the full time equivalency of exam rooms in offices where you don't see patients on a full-time basis, multiply the number of exam lanes in such offices by the number of days per week that patients are seen x 0.2 (i.e one lane for one day a week equals 0.2, one lane for two days a week equals 0.4, two lanes for two days a week equals 0.8, etc.) and then add together the totals for all locations.
